Travel costs
Travel costs cover transporting the equipment and the team to the event venue and back. Depending on the supplier, they are included in the price, charged at a flat rate by geographical zone, or charged at cost: three approaches that lead to very different final invoices.

For bulky or fragile equipment, this item can represent a significant share of the service. A bipedal humanoid that folds up and travels in an ordinary vehicle costs far less to move than an installation requiring a lorry and a build crew.
The decisive variable remains the distance from the supplier's base. A supplier based in France for an event in France charges for one journey; equipment imported for each date adds international transport, customs formalities and lead times, as well as the risk of an administrative hitch the day before the event.
To have specified in the quote: exactly what the flat rate covers, what is triggered beyond it, and how events over several consecutive days are handled.
